LGfL VoIP User Guide

To make an external call, please ensure you dial ‘9’ before entering the full outgoing number, including area code.

NOTE: To call other LGfL VoIP establishments, please use the ‘LGfL Directory’ on the Online VoIP Management site https://voip.lgfl.org.uk/ to obtain their VoIP number allowing for a free call.

Your school DfE code, followed by the phone extension number.

(e.g. 2458579) and your telephone extension number (eg 101) so the full combination would be 2458579101.

After first access, you must set a new PIN with a minimum of six digits for future access.

•Dial 700 from the handset

•When the call is answered you will be asked for a PIN

•Enter default PIN – see above

•You will have reached the settings menu. Simply listen to the instructions and follow the prompts to change greetings and record the voicemail greeting message of your preference.

•Press the voicemail button or dial 700 from your handset

•Enter default PIN if it is the first time – see above

NOTE: If you enter the wrong PIN you will be asked for your ID and PIN for the next and subsequent attempts.  Three incorrect entries will lock your account for 30 minutes.

•Dial 700 from the phone (the voicemail button will work if this phone/line also has voicemail).

•If you are first asked for a PIN, Press the * key (This means the phone has its own Voicemail and you need to tell the system you want a different Voicemail box)

•Enter the ID & PIN of the required Voicemail box to gain access

NOTE: You can only do this if you have a Call Handler (i.e. main line greeting message)

•Dial your school main line number

•When you hear the greeting message, press *

•Enter the ID & PIN of the required Voicemail box to gain access

Even when a recording is marked as deleted it is retained and uses space for 15 days. This means deleted recordings can be retrieved for a couple of weeks.

To entirely remove these messages prior to the 15 days timescale, please follow the steps below:

•Log in to Voicemail (either by Voicemail button or dialling 700 from your handset).

•Press 3 – to review old messages

•Press 2 – to access deleted messages

•Press 2 – to erase messages

•Press 1 – to erase Voicemail messages only

•Press 1 – to yes, really delete!

To divert calls to voicemail:

•Pick up the phone receiver

•Select the Fwd All button that appears on the phone display screen

•Dial 700

To reverse this action (un-divert your phone) just pick up the receiver again and press the Fwd Off button.

Pick up your receiver and press the button directly below the ‘CFwdAll’/’Fwd All’ that appears on your phone display and then enter the number that you would like your calls to be directed to.

If you have a 3905 handset, press the centre circular button on the Navigation Pad  and select the ‘Call Forward All’ option, and enter the number that you would like your calls to be directed to.

To turn off call forwarding, simply reverse the action and select Fwd Off.

A member of staff that has been allocated with the VoIP Systems Administrator permission can assign a specific handset to one or more users by selecting the handset via the Settings >> Phone administration page. Simple step-by-step guidance can be found here.

Lockout occurs if a user attempts to log in three times with the wrong PIN.

The lock will reset after 30 minutes or can be cleared by changing the PIN on the VoIP site, by:

Selecting Settings >> Phone administration from the top menu and clicking the Select button next to your handset.

When the pop-up window appears, you can then enter a new PIN into the Update voicemail PIN box under the Feature configuration tab, and click Save.

•Select Settings >> Phone administration from the top menu and click ‘Select’ next to the handset.

•When the pop-up window appears, select the ‘Line settings’ tab, and choose the relevant ‘External’ option from the ‘Set calling permissions:’ dropdown menu.

•Select Settings >> Phone administration from the top menu and click the Select button next to your handset.

You must have details of the phone extention(s) that have access to the call handler

•Dial 650 from the handset

•When the call is answered (first time you will hear a “Sorry…” message) press 9. This will take you to the Greetings Administrator.

•Enter ID (this is the school’s DfE code, followed by the phone extension number, i.e the designated Voicemail account ID) followed by #

•Enter PIN (same number as above unless the PIN has already been changed) followed by #

•Enter Call Handler number (this is the school’s DfE, followed by 650) followed by #
(e.g. 2458579), plus 650 so the full combination would be 2458579650#.

•You will have reached the settings menu for your Call Handler. Simply listen to the instructions and follow the prompts to record the “Standard” greeting or other greeting types if required.

•After you have recorded your greetings, you can simply dial your Call Handler again to listen back or re-record your message.
